Cancellation of orders after closing

Detailed procedure for correcting orders after the daily closing, in accordance with standards.

Understanding the sales closing system

Every evening, all your sales for the day are automatically closed via ticket Z.

Once closed, orders are blocked and can no longer be modified (whether paid or not)

You will recognize a blocked order thanks to the 🔒 that appears next to its reference

💡 Tip: Do you prefer to manage your fences yourself? You can switch to manual mode from your settings.

When to proceed with a sale cancellation?

  • error on sales lines

  • missed delivery

  • incorrect application of VAT

  • change of date, time or quantity

  • customer error

  • client not shown

Cases of cancellation

1- Cancellation of an order without payment and without creating a new order (standard procedure)

  1. Go to the relevant order

  2. Click on the "Edit" tab

  3. Go down to the "Danger Zone"

  4. Select "Cancel sale"

  5. A negative suborder is automatically created

>> The revenue recorded on day x is canceled by the negative revenue of the suborder.

The dashboard will record the negative turnover over the day.

2- Cancellation of an order with payment and you do not refund the customer

After canceling the order (standard procedure), the payment that has not been refunded is kept in your account

>> the turnover recorded on day x is canceled by the negative turnover of the suborder and the amount collected

The dashboard will record the negative turnover over the day.

3- Cancellation of an order with payment and you refund the customer

If you wish to refund the customer, you must:

  1. access the relevant order

  2. click on the "Edit" tab

  3. descend to the "Danger Zone"

  4. select "Cancel/refund the sale"

  5. check "Save a refund" or "Generate a coupon"

  6. a negative suborder is automatically created with the refund in the "Payment" tab

4- Cancellation of an order without payment and with the creation of a new order

Proceed with the standard cancellation and then create the new order

5- Cancellation of an order with payment and creation of a new order

Proceed with the standard override and then:

  1. create the new order

  2. Include the payment for the initial order as a discount (we recommend that you include the reference payment details with the number of the order)

It is important not to create a new payment, as this would distort the amount of actual receipts.

>> The revenue recorded on day x is canceled by the revenue of the negative suborder

Impact on your accounting

Day 1 - initial order of €180

  • Revenue recorded +€180

  • Collection: +€180

Day 2 - after cancellation of the sale

  • Revenue deducted -€180 (with the suborder with a negative amount)

  • New collection: -€180

  • Total: €0 (everything is balanced)

Reading Z tickets

  • The initial order remains in the figures for the day it was created

  • The cancellation will appear on ticket Z of the day of the cancellation
